Technology-enhanced operations that scale

We combine trained freight operations specialists with purpose-built automation tools to increase throughput, accuracy, and speed on every load.

Operations powered by technology

Not just people.

Current Stack

What powers your operations today

Automated POD Request Workflows

Carrier outreach is triggered automatically based on delivery confirmation timestamps in your TMS. No manual follow-up needed. The system starts chasing the moment a load is delivered.

Trigger on delivery confirmation

Escalation after 6h, 12h, 24h

Multi-channel: email + phone

System Status

POD & BOL field extraction

Signature & date validation
TMS-ready data output

Document OCR Extraction

PODs, BOLs, and carrier invoices are processed through optical character recognition to extract key data, reducing manual data entry and speeding up verification.

Duplicate Invoice Detection

Rules-based detection flags potential double-billing from carriers before payment is approved. Catches duplicates that manual review often misses, especially at volume.

System Status

Invoice number deduplication
Amount + carrier matching
Flagged for human review

System Status

FMCSA authority status
Insurance expiry tracking
Safety rating alerts

Compliance Monitoring Alerts

Automated tracking of FMCSA authority changes, insurance expirations, and safety indicator updates. Your team gets alerted before a compliance lapse becomes a liability.

Automated AR Reminder Workflows

Payment reminders escalate automatically based on invoice aging thresholds. No invoice falls through the cracks. The system follows up when your team doesn’t have to.

System Status

Aging thresholds: 30 / 60 / 90d

Auto-escalation to disputes
Full audit trail per invoice

Infrastructure

Built for scale

Our technology infrastructure ensures quality stays consistent whether you’re moving 2,000 or 20,000 loads per month.

Automated Quality Controls

Every invoice passes through automated validation rules before human review: rate matching, duplicate detection, and accessorial verification happen instantly, not manually.

Intelligent Document Processing

PODs, BOLs, and carrier invoices are extracted, matched, and organized automatically. Your team gets clean data in your TMS, not a pile of PDFs to sort through.

Real-Time Operational Visibility

Track billing status, AR aging, compliance alerts, and team performance from a single view. Weekly reports are generated automatically. No chasing your back office for updates.

Why It Matters

Why technology separates ClearLane from traditional back-office providers

3–5×

vs. manual-only operations

Higher Throughput

More loads processed per team member means better economics for you: automation handles the repetitive work so specialists focus on edge cases.

99%+

billing accuracy target

Fewer Errors

Automation catches what humans miss, especially at volume. OCR, duplicate detection, and rules engines layer over human review for 99%+ accuracy.

Same-day

invoice processing

Faster Processing

Same-day turnarounds on invoice verification and billing prep. Automated triggers mean work starts the moment delivery is confirmed, not the next morning.

TMS-native
no new tools for your team

Deep Integration

Our tooling sits inside your TMS and workflows, not alongside them. That depth of integration creates reliability and consistency that generic back-office vendors can’t replicate.

Frequently asked questions

What technology does ClearLane use to process documents?

ClearLane uses OCR-powered document extraction to read and categorize proof-of-delivery documents, carrier invoices, bills of lading, and rate confirmations. Documents are automatically parsed, matched to the correct load in your TMS, and flagged for any discrepancies, reducing manual data entry and catching errors that human-only review misses.

Every carrier invoice is checked against a database of previously processed invoices using load number, carrier name, date, and amount matching. If a potential duplicate is detected, it is flagged for review before payment is approved. This prevents double-payments that are common when carriers resubmit invoices or when multiple team members process the same load.

No. ClearLane is not a TMS. It works inside your existing TMS. Your team continues using the same system for dispatch, load management, and customer relationships. ClearLane’s operations team logs into your TMS with dedicated credentials and handles the post-dispatch workflow: POD retrieval, invoice verification, billing, and collections.

ClearLane continuously monitors each carrier’s FMCSA authority status, insurance certificates, and safety ratings. When a carrier’s insurance is about to expire, their authority is revoked, or their safety rating changes, the system generates an alert so the issue is addressed before you dispatch another load with that carrier.

Yes. Because ClearLane operates directly inside your TMS, every action is visible to your team: PODs uploaded, invoices verified, bills submitted, AR notes logged. You also receive weekly performance reports with key metrics including POD turnaround time, invoice accuracy rate, AR aging analysis, and revenue recovered through pre-billing audits.

Yes. ClearLane’s dedicated bookkeeping team works directly inside your existing accounting software: QuickBooks Online, QuickBooks Desktop, Xero, FreshBooks, or Sage. They record transactions, categorize expenses, reconcile bank and credit card statements, and complete month-end close within your platform. No data migration or new software is required.
